For paper items (faxes) could you use a 3 ring binder with a set of alphabetic tabs. The binder is labeled "Clients" or "Clients 2008" and the fax is located under the letter tab for their name.

I personally am not a big fan of file folders, I tend to drop them on my ways to meetings. Or get the papers out-of-order while I search for that one item I need.

thoughts?

p.s. Loved the pdf!

I hadn't thought of mirroring computer and paper files. Nice idea. I'm gradually migrating to a paperless work environment, as much as that is possible. However, since my company installed combination copiers, printers, and scanners, it's quite easy to scan my paper notes and then file them electronically.

Hi Stever,
Great podcast! I think that's a pretty good file system. In fact, I've started something similar myself at home. I like the diagram too!

Ha! I already pretty much do the same thing, but I didn't think it out, it just sort or worked out that way.

An extra tip for those computer files. Once I've finished a project, I export the email files, and put the exported document containing all the emails from that client in the project's file on my computer. Then I delete the folder from my email program. It only takes a second, it keeps my email program from choking on an excess of material, and it can be reimported back into the email program in as little time it took to export it any time I need it.

Didn't you already tell us how you file things in two folders? Or do you do something more than use the magic of stickies?

"So, here’s my solution: every folder for a speech or workshop gets labeled “Session - Leadership - Oprah or Iacocca.” Then I put a sticky note in my “Widgets” file saying, “I did the leadership session Oprah or Iacocca for this client.”"
